Who we are

The Close-Up Collective Ltd is the data controller for the information described in this policy.

What information we collect

We collect personal information that you provide when you:

• submit an enquiry or booking through our website
• contact us by email or by phone
• book and pay for a performance

The information we collect includes:

• your name
• your email address
• your phone number
• your event details, such as the date, venue, type of event and guest numbers
• where you make a booking, billing details and payment records

We do not collect special category data, as defined by the UK GDPR, and we ask that you do not send it to us.

How we use your information, and our lawful basis

We use your information for the following purposes.

To respond to your enquiry. Answering your questions, checking availability and providing quotes. Our lawful basis is legitimate interests, namely responding to someone who has asked us about our services.

To arrange and deliver your booking. Confirming the booking, allocating a performer, invoicing, and providing the performance itself. Our lawful basis is performance of a contract with you, or taking steps at your request before entering into a contract.

To keep accurate business and financial records. Our lawful basis is legal obligation, in particular our obligations under tax and company law.

To send you marketing. We may send occasional emails about our services, offers or news. Our lawful basis is consent, and you can withdraw it at any time using the unsubscribe link in any email, or by emailing us.

To ask for feedback and improve what we do. Our lawful basis is legitimate interests, namely understanding how our service is received so we can improve it.

To understand how our website is used. Our lawful basis is your consent, given through our cookie banner. See the cookies section below.

Who we share it with

We do not sell your information, and we do not share it for anyone else's marketing.

We share it only where it is needed to run the booking or the business:

• the performer allocated to your event, who receives the details needed to deliver the performance, such as the date, venue, timings and a contact name and number
• our accountant and payment providers, for invoicing, payment and record keeping
• our website, email and IT providers, who host and support the systems the information sits in
• professional advisers or authorities, where we are required to share information by law

Transfers outside the UK

Some of the providers we use, including Google, process information outside the UK. Where that happens, the transfer is covered by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

We keep information only as long as we need it.

• Enquiries that do not lead to a booking: 24 months from your last contact with us, then deleted.
• Bookings, invoices and payment records: 7 years from the end of the relevant financial year, to meet our tax and company law obligations.
• Marketing consent records: for as long as you remain subscribed, and for 24 months after you unsubscribe so we can show that we honoured your request.

Keeping your information secure

We use appropriate physical, electronic and organisational measures to protect your information against unauthorised access, loss, misuse or disclosure. Access is limited to those who need it to do their job or to deliver your booking.

Your rights

Under UK data protection law you have the right to:

• access the personal information we hold about you
• have it corrected if it is inaccurate or incomplete
• have it deleted, where there is no good reason for us to continue holding it
• restrict how we use it, in certain circumstances
• object to us using it, where we rely on legitimate interests, and to object to direct marketing at any time
• receive a copy in a portable format, where we rely on consent or contract and process it electronically
• withdraw consent at any time, where we rely on consent

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office.
